Refund & Cancellation Policy

This policy outlines how we handle subscription cancellations and refund requests to ensure a clear understanding for all our clients.

1Overview

At SchoolPilot, we strive to provide a reliable, feature-rich school management system. This Refund & Cancellation Policy clarifies our terms for all paid subscription plans and custom installations. By using our paid services, you agree to the terms stated below.

2Setup or Customization Fees

Initial setup fees, onboarding charges, and custom feature development costs are strictly non-refundable. This includes any work related to branding, system configuration, school-specific modifications, and bulk data imports.

3Subscription Fees

Once a term-based or annual subscription is paid, the amount is non-refundable, even if the system is not used fully. We do not issue refunds for unused days, months, or partial term usage.

4Cancellation Policy

Clients may cancel their subscription at any time by notifying our support team **in writing via email to our official support address** or via official phone contact. Upon cancellation:

  • Access to SchoolPilot will remain active until the end of the current billing cycle.
  • No new charges will apply after the cancellation is confirmed.
  • All school data will remain available for 30 days for export upon request by an administrator.

5Renewal and Auto-Billing

For convenience, **subscriptions are set to renew automatically** at the start of a new school term or year unless a cancellation request is received. Clients will receive **at least 14 days' prior notice** via SMS, WhatsApp, or email about upcoming renewal dates and charges.

6Refunds Due to Technical Issues

Refunds may be considered only if the system experiences persistent technical failure (**downtime of 7 or more consecutive days**) not caused by the exclusions listed below. Any such claim must be verified and approved by our technical support team.

A refund will not be considered if failure is caused by: poor internet connectivity at the school, misuse by school staff, or device incompatibility.

7Chargebacks & Disputes

We advise clients to contact us first to resolve any billing concern. Unauthorized chargebacks will result in immediate suspension of all services and may affect future service eligibility.

8Trial Access (If Offered)

From time to time, SchoolPilot may offer free or trial access. Such accounts are limited in features and duration, will be deactivated after expiry, and cannot be converted into any form of refund or credit.
