These terms form a legally binding agreement between you and SchoolPilot Uganda. Please read them carefully before using our platform.
1Acceptance of Terms
By accessing, using, or subscribing to the SchoolPilot platform, you agree to be bound by these Terms of Use. These terms form a legally binding agreement between you (the "User" or "School") and SchoolPilot Uganda ("we," "us," or "our").
If you do not agree with any part of these terms, please do not use the platform.
2Description of Service
SchoolPilot is a school management software that helps schools in Uganda manage:
- Student and staff records
- Attendance and discipline tracking
- Report cards (O-Level & A-Level)
- Fee payments and balances
- Science lab, kitchen, library, and sick bay
- Timetables and exams
- Bulk SMS communication
- Visitor logs and more
The system can be accessed via web browser on phone, tablet, or computer.
3Eligibility
SchoolPilot is intended for use by registered educational institutions and their authorized personnel. You must be at least 13 years old or have approval from the school management to operate the platform.
4Account Registration and Security
- Each school is assigned an administrator account
- Schools are responsible for creating and managing user roles (e.g., teachers, bursars, librarians)
- Users must keep their login credentials confidential
- The school is responsible for all actions taken under its accounts
- We reserve the right to suspend or delete accounts that compromise security or violate these terms
5Subscription and Payment
- SchoolPilot offers various pricing models including per-student billing, termly/annual subscriptions, or one-time licenses
- Payment must be made via approved methods (e.g., Mobile Money, bank transfer)
- Non-payment beyond 14 days of the due date may lead to temporary suspension of services
- No refunds are issued for partially used subscription periods unless agreed in writing
6User Conduct
Users agree not to:
- Use the system for any illegal or unauthorized purpose
- Upload false, harmful, or misleading data
- Attempt to disrupt, damage, or reverse-engineer the system
- Share their login credentials without permission
7Intellectual Property
All content, code, and design of the SchoolPilot system are the intellectual property of SchoolPilot Uganda. Users may not copy, resell, or redistribute the system or its components without written permission.
All school-uploaded content remains the property of the school.
8Data Ownership and Protection
- Schools own all data entered into their accounts (e.g., student records, reports)
- We act as a data processor and will not access or share data except for support, system maintenance, or legal compliance

9Availability and Updates
We strive for maximum availability and target an uptime of 99.5% during school operational hours. However, occasional maintenance, updates, or outages beyond our control may occur. We will notify users in advance of scheduled downtime where possible.
We may also release new features, improvements, or bug fixes without prior notice.
10Termination of Service
You may terminate your use of SchoolPilot at any time by giving written notice. Upon termination:
- Access to your data will be restricted
- You may request a data export within 30 days
- Outstanding payments remain due
We reserve the right to suspend or terminate accounts that violate these terms or abuse the system.
11Limitation of Liability
SchoolPilot shall not be liable for:
- Loss of data due to user error or third-party actions
- Financial loss due to misuse of system features
- System interruptions beyond our control (e.g., internet outages, server issues)
Our total liability shall not exceed the fees paid by the school in the previous 3 months. This limitation of liability does not apply in cases of our proven gross negligence or willful misconduct.
12Changes to These Terms
We reserve the right to modify these Terms of Use at any time. Updated terms will be posted on our website. For any material changes, we will make a reasonable effort to notify school administrators via email or an in-app notification. Continued use of the system after such changes take effect constitutes your acceptance of the new terms.
13Governing Law
These Terms shall be governed by and interpreted according to the laws of Uganda. Any disputes shall be handled by the appropriate courts in Uganda.
